To comply with U.S. employment laws, all employees must complete Form I-9 to verify their identity and authorization to work. This guide provides step-by-step instructions to help you through the process using the Buildforce platform.
Completing your I-9 is a critical step in your employment process. Accurate and timely submission ensures compliance with federal regulations and facilitates a smooth onboarding experience.
Step 1: Enter and Verify Personal Information
Access the I-9 Form:
Log in to your Buildforce account.
Under the 'Find Jobs' tab, look for the I-9 Verification Box at the top and click the Start button.
Provide Personal Details:
Enter your Date of Birth and click 'Submit'.
Review instructions and click 'Start I9 submission'. This will open the I9 in a pop-up window.
Click 'Start' and ensure all personal information is accurate to avoid processing delays. Click 'Next'.
Attest to Employment Authorization:
Select the appropriate status (e.g., U.S. citizen, noncitizen national, lawful permanent resident, or alien authorized to work).
Continue to the next step to upload your supporting documents.
Step 2: Upload Supporting Documents
You must provide original documents that verify your identity and employment authorization. Refer to the official list of acceptable documents for guidance.
Prepare Your Documents:
Choose one document from List A or one document each from List B and List C (whichever applies to you).
Ensure documents are original and unexpired.
Upload Documents:
Follow the on-screen instructions to scan or upload the front and back (if applicable) of each document.
Confirm that the uploaded images are clear and legible to prevent verification issues.
Please wait as the app processes each document and confirm Issuing Authority if needed. The app will confirm when the verification was successful.
Step 3: Designate an Authorized Representative
An Authorized Representative must physically examine your documents to verify their authenticity. This individual can be a friend, family member, or colleague who is available to meet you in person.
NOTE: Your authorized representative will also need to have location sharing enabled for this step if you are using this option. If they do not wish to share their location, please utilize the Scan QR code option.
If you need more details about how to share your location, please see the heading at the bottom of the page.
Enter your Representative's Contact Information:
I9 In-Person Review: Click 'Begin Now' and then 'Share My Location'
Input the phone number of your chosen representative as the 'Document Reviewer'
Click 'Send Text Message' to provide them with verification instructions.
Representative Receives Instructions:
They will receive a text message with a link to begin the verification process.
Upon clicking the link, they may be prompted to share their location to confirm they are physically present with you.
Scan the QR code on your representative's phone to confirm location, if needed.
3. Document Verification:
Present your original documents to the Authorized Representative.
The representative will compare the physical documents to the uploaded images to ensure they match.
After verification, the representative will electronically sign the form to complete the process.
Please make sure they type their name here, not yours (the employee).
Alternative Verification Method: QR Code Scanning
If the Authorized Representative prefers not to share their location, you can use the QR code scanning method:
Initiate QR Code Process:
After entering the representative's phone number, they will receive a link with a QR code.
Scan the QR Code:
On your device, select "Begin QR Code Scan" within the Buildforce platform.
Use your device's camera to scan the QR code displayed on the representative's device.
Complete Verification:
Once scanned, the representative will proceed with the document verification steps as outlined above.
Enabling Location Services
For the location-sharing method, ensure that location services are enabled on your representative's device:
iOS Devices:
Go to Settings > Privacy & Security > Location Services.
Ensure that Location Services are turned on.
Scroll down to the browser being used (e.g., Safari, Chrome) and set the location access to 'While Using the App' or 'Always'.
Android Devices:
Open Settings.
Tap Location.
Ensure that Location Services are turned on.
Navigate to the browser being used and grant it location permissions as needed.
